Wedding Staffing FAQ
Who handles the alcohol licence for our wedding? Do we need a Special Occasion Permit?
Ludify provides the staff, not the alcohol or the liquor licence. If your venue holds its own liquor licence, bar service runs under that licence. If it does not, for example a rented hall, a tent or another unlicensed space, the host usually needs a Special Occasion Permit from the Alcohol and Gaming Commission of Ontario (AGCO), applied for in the host's own name. Confirm the requirement with your venue and the AGCO. Our bartenders and servers are all Smart Serve certified and work within the conditions of your venue's licence or your permit.
How many servers and bartenders does a wedding need?
For a seated plated dinner we recommend 1 server per 8 to 12 guests, and 1 server per 20 to 25 guests for buffet or family-style service. At the bar, plan on 1 bartender per 45 to 50 guests for a full bar with mixed drinks, 1 per 30 to 35 guests for craft cocktails, and 1 per 60 to 75 guests for beer and wine only. Send us your guest count and menu style and we will recommend a crew size with your quote.
How much setup and teardown time should we plan for?
Our crew arrives before your guests to set tables, stage glassware and set up the bar. After the reception we clear tables, wash glassware, pack up rentals and reset the venue. Share your venue access times and your run of show when you request a quote so the shift covers setup and teardown as well as service.
