How Many Servers and Bartenders Do I Need for My Event?

Ludify Event Services · Updated October 18, 2026

The right number of staff depends on two things: how the food is served and what the bar is pouring. Use the ratios below as a starting point, then adjust for your venue and timeline.

Server ratios

Service styleOne server for every
Seated, plated dinner (multi-course)8 to 12 guests
Buffet or family-style20 to 25 guests

Plated service needs more hands because each course is carried, served and cleared at the same time. A buffet needs fewer servers, but someone still has to keep it stocked, clear plates and refill drinks.

Bartender ratios

Bar styleOne bartender for every
Beer and wine only60 to 75 guests
Full bar with mixed drinks45 to 50 guests
Craft cocktails30 to 35 guests

When to add more staff

When to add an event captain

An event captain leads the team on the day. They keep to the timeline, talk to the venue and caterer, and solve problems so you do not have to. They are worth adding for weddings, larger receptions, or any event with several roles working at once.
